# User Management

User Management enables administrators to control who can access Sprinto and define what they can view or modify. You can assign predefined roles for common responsibilities or configure custom permissions for specific areas of the platform.

### How it works

Sprinto provides five access roles to help you manage user permissions:

* **Collaborator:** Users can view and work only on the tasks and checks assigned to them.
* **Viewer:** Users can view specific areas of Sprinto based on the permissions granted but cannot make changes.
* **Scoped Editor:** Users can view and take action only on entities they own, create, or are explicitly assigned to.
* **Custom:** Users receive customised permissions for individual areas within Sprinto.
* **Admin:** Users have full access to manage the organisation, including users, settings, configurations, and data.

When you assign the **Custom** role, you can configure permissions for each area by selecting one of the following access levels:

* **None:** The user cannot access the area.
* **View:** The user can view the area but cannot make changes.
* **Edit:** The user can view and modify the area.

### Add a user

1. Log in to the Sprinto dashboard.
2. Navigate to **Settings** > **User Management**.
3. Click **Add user**.

4. Under **Select staff**, search for and select the staff member you want to add.
5. Under **Access role**, select one of the following:
   * **Collaborator**
   * **Viewer**
   * **Scoped Editor**
   * **Custom**
   * **Admin**
6. If you select **Collaborator**, **Viewer**, **Scoped Editor**, or **Admin**, click **Add user** to assign the selected role.

7. If you select **Custom**, click **Add user** to configure the user's permissions.
8. For each area, select one of the following access levels:
   * **None** to prevent access.
   * **View** to allow read-only access.
   * **Edit** to allow users to view and make changes.
9. Optionally, use **Set all to** to apply the same access level across all areas.
10. Click **Add user** to create the user.

#### Note

1. **Custom** access is available as an on-demand feature. To enable it for your organisation, raise a request with the Sprinto Support team.
2. Staff members who already have an assigned access role are not available for selection.

### Edit a user's access

You can update a user's access role or modify their permissions at any time.

1. Log in to the Sprinto dashboard.
2. Navigate to **Settings** > **User Management**.
3. Select the user whose access you want to update.
4. In the **User details** drawer, click the **Edit** **icon** next to the current access role.

5. Select the required access role:
   * **Collaborator**
   * **Viewer**
   * **Scoped Editor**
   * **Custom**
   * **Admin**
6. If you select **Collaborator**, **Viewer**, **Scoped Editor**, or **Admin**, click **Change access role** to save your changes.

5. If you select **Custom**, click **Change access role** to configure the user's permissions.
6. Update the permissions for each area by selecting **None**, **View**, or **Edit** as required.
7. Click **Save** to apply the changes.

### Remove a custom role

You can remove a user's custom role when they no longer require customised permissions.

1. Log in to the Sprinto dashboard.
2. Navigate to **Settings** > **User Management**.
3. Select the user whose custom role you want to remove.
4. In the **User details** drawer, click **Remove custom role**.

5. Review the confirmation message.
6. Click **Remove** to confirm.

#### Note

Removing a custom role revokes the user's permissions in Sprinto. The user remains a staff member, and any tasks assigned to them are automatically reassigned to the default owner identified by Sprinto.

### What happens next

Once a user is added or their access is updated, they can sign in to Sprinto and access the areas permitted by their assigned role.

* Users with **Collaborator**, **Viewer**, **Scoped Editor**, or **Admin** roles receive the permissions associated with their selected role.
* Users with **Custom** access can only view or edit the areas you have explicitly configured.
* You can return to **Settings** > **User Management** at any time to review, update, or remove a user's access as your organisation's requirements change.

#### Note

Review user access regularly to ensure users have only the permissions required for their responsibilities. This helps maintain the principle of least privilege and strengthens your organisation's security posture.
