# Create Staff and Organisational Data

Use the **Create** actions within the Configuration tab of the People section to add new staff, groups, organisational details, and verification systems. This sets the foundation for compliance workflows in Sprinto.

### 1. Add Staff

You can add staff through integrated HRMS/IDP providers or manually.

Here's a short video on how to set up the People module.

#### To add staff via HRMS or IDP:

1. Go to **People > Configuration**.
2. Under **Staff information providers**, click **Add Staff**.

3. Click Add staff from HRMS or identity providers.
4. Choose the provider (For example, Google Workspace, Office365, Okta, GreytHR and so on).
5. Select the provider of your choice and follow the onscreen prompts to sync data.

If the provider is not yet connected, click **Add provider** and complete the authentication.

#### To add staff manually:

1. Go to **Add Staff**.
2. Click **Add staff manually**.

3. You can:
   1. Add an individual staff member
   2. Add Staff in bulk via CSV.

3. To add a single staff member, select **Add individual staff member**.
   1. Enter the required details.
   2. Click Add staff member.

3. Add member is bulk, select **Add staff in bulk via CSV**.
   1. Download the bulk upload template.
   2. Fill in the required details and upload the CSV file.
   3. Click **Add Users**.

### 2. Create Staff Groups (via Import)

When you integrate a provider, staff groups are auto-imported. You can manage or expand them as needed.

#### To import staff groups:

1. In the **Automate staff scoping using groups** section, click **Setup staff group**.
2. In the pop-up that appears, click **Import staff groups**.

3. Choose a provider and follow the on-screen instructions to integrate with your provider.

Groups must be created in the provider system. Changes there are reflected in Sprinto.

#### To create a staff group:

1. In the **Automate staff scoping using groups** section, click **Setup staff group**.
2. In the pop-up that appears, click **Create group.**

3. Enter the group name.
4. You can now either:
   1. Add staff members manually.
   2. Select attributes and conditions to group staff.
5. To add staff members manually:
   1. Select the **Group staff manually** check-box.
   2. Select the staff members you wish to add in this group.
   3. Click **Create staff group**.

6. To select attributes and conditions to group staff:
   1. Select the attributes and conditions in the first two columns.
   2. You can select the following attributes in the first column:
      * Reporting manager
      * Roles
   3. You can select the following conditions in the second column:
      * is
      * is not
      * contains
      * does not contain
      * is equal to&#x20;
      * is not equal to
   4. Select the desired value in the third drop-down.
   5. You can also add multiple attributes to refine your scope.
   6. Click **Create staff group**.&#x20;

#### After group creation

* Group metadata includes:
  * **Group name**
  * **Group type** (static or dynamic)
  * **Source** (e.g. provider name or “Created in Sprinto”)
  * **Member count**
* Groups created in Sprinto can be edited. You can:
  * Add or remove members (for static groups)
  * Update conditions (for dynamic groups)
  * Rename the group
* These groups are immediately available for:
  * Policy assignments
  * Training assignments
  * Automated scoping within audits

### 3. Create Custom Fields

Use custom fields to capture additional metadata for your staff records.

#### To create a custom field:

1. Scroll to the **Custom Fields** section.
2. Click **+ Create**.
3. Enter:
   * **Field name** (e.g. Location)
   * **Field type** (Dropdown, Text, Date and so on)
   * **Description**
   * **Applicable to** (e.g. Staff)
4. Click **Create** to save the field.

### 4. Add an Org Chart

You can create or configure your org chart in two ways.

#### Option A: Sync from Sprinto

1. In the **Org chart** section, click **Manage**.
2. Select **Using reporting manager information** (default).
   * This pulls manager data from synced staff records.

#### Option B: Upload an Org Chart

1. Click **Manage > Periodically upload an org chart**.
2. Set your upload **frequency** (e.g. every 12 months).
3. Upload your org chart file as **evidence**.
   * Accepted formats: `.doc`, `.pdf`, `.xlsx`, `.zip`, and so on.
4. Click **Finish**.

### 5. Add Background Verification System

Add BGV providers to automate staff verification checks.

#### To add a BGV system:

1. Scroll to the **Background verifications** section and click **Manage**.
2. Click **+ Add background verification system**.
3. Choose from available providers (e.g. Checkr, Certn, Spring Verify).
4. Authenticate and connect the system.
